Everyday work

  • The Home screenA tour of Home, the first screen you see: what each card means, how to switch location, and where the alerts, the scanner and your jobs are. Phone first, then the manager's desktop dashboard.
  • Finding thingsFind an item four ways: search, the Low stock and tag filters, a scan, or by browsing folders. Then switch location to look somewhere else.
  • The item screenA tour of an item's page: the photo, how many are on hand, the minus and plus buttons, Take and Return, where it is, the forecast, history and the QR label. Phone first, then desktop.
  • ScanningScan QR labels and barcodes with your camera to take, return, count or receive stock, and what to do when the camera will not open or a code will not scan.
  • Taking stock for a jobStart or pick a job, scan or open the part, take what you need, and see it charged to the job. Also what happens with no job, and what to do when there is not enough stock.
  • Returning stockBring parts you did not use back to a folder, from the scanner, from the item's page, or from a job, and take them off that job's cost.
  • Counting stockCount what is really on the shelf and tell the app, which is also how you fix a wrong number. Covers Count mode, the item's Count button, what History shows, and why stock cannot go negative.
  • Receiving stockRecord a delivery, or parts you brought in, against an item with the scanner or the item's page, or against a purchase order so the order stays right.
  • Moving and transferring stockMove stock between folders in one location (managers and owners), or transfer it to another location (techs too, between their own). How it shows in History and Activity, and how the location switcher fits in.
  • JobsStart a job for a work order, charge the parts you take to it, see what it cost and what to bill back, then close it.
  • ToolsCheck a tool out to yourself or to someone else, set a due date, check it back in, and see what is overdue. Tools are part of the Pro plan.
  • PhotosTake a photo of an item with your phone's camera, or choose a picture from a file. Which pictures work, how many an item holds, the first photo, and deleting one.
  • Working without signalKeep scanning and taking stock with no signal. What waits on your phone, what needs a signal, and how to fix a change that didn't sync.
  • NotificationsThe bell shows alerts for low stock, overdue tools, received orders and new assignments. What each alert means, who gets it, and how to mark it read.

Running the stockroom

  • ItemsAdd an item, fill in every field, edit it, mark a tool, add it from a scanned barcode, and archive it when you stop stocking it.
  • FoldersAdd a folder or a sub-folder, choose its kind, rename or move it, read the folder page, print its QR label, and archive it when it is empty.
  • LocationsAdd a location, rename it or change its code, archive it when it is empty, switch between locations, and choose which ones each tech can reach.
  • Minimums and reorderingSet the minimum and reorder-to level for an item and for each location, and see how low stock, days left and suggested reorder are worked out.
  • Low stockSee everything that is under its minimum, how many to order, and how long it will last, then turn the lines you pick into purchase orders.
  • SuppliersKeep the list of who you buy from: add a supplier, edit its contact details, archive it, and link your items to it so orders sort by supplier.
  • Purchase ordersMake a purchase order from Low stock or from scratch, edit it, mark it sent, print it, receive the delivery in full or in part, or cancel it.
  • Labels and printingPrint QR labels for items or a whole folder on Avery 5160 sheets, from a phone or a computer, and fix a label that comes out too small or will not scan.
  • ReportsSee what parts cost and where they went, by category, location or tag, for any date range, with the bill-back beside it, and export it as a CSV.
  • The dashboardA tour of Home on a computer screen: what each card and number means, how the location switcher narrows it, what Export does, and what a new company sees.
  • Activity and historySee who took, returned, counted or received what and when. Filter by item, folder, person, job or date, export to CSV, and read an item's own history.
  • The daily digest emailThe one email owners and managers get each morning when something is low or a tool is overdue: who gets it, when, what it says, how to test it and how to change its time.
